Privacy Notice

The Inflammatory Breast Cancer Network UK (the Charity) is committed to protecting your information and using it responsibly. As part of this commitment, we publish information about how your data is processed in documents referred to as Privacy Notices. This Privacy Notice tells you what to expect us to do with your personal information when you make contact with us. Please read our Privacy Notice carefully to understand how we collect, use, and store your information. This notice, together with our website Terms and Conditions inform you about how we collect, use, and protect your personal information.

We are committed to being transparent about what we do with your personal information, no matter how you interact with us. That’s whether you want to donate, volunteer, use our support services or want to learn more about what we do. This will always be in accordance with our responsibilities which include:

  • UK General Data Protection Regulation (‘UK GDPR’) and the Data Protection Act 2018 (‘DPA’) referred to as the ‘data protection legislation’

  • the Privacy and Electronic Communications Regulation (2003)

We won’t do anything with your information that/which you wouldn’t reasonably expect.

The processing of your information is carried out by the Charity, a registered charity in England and Wales (No. 1177635). Our registered office is 9 The Fordway, Lower Quinton, Stratford-Upon-Avon, Warwickshire, CV37 8QP.

How and when we collect information about you

When you directly give us information

We may collect and store information about you when you interact with us. For example, this could be when you:

  • support our work through a donation

  • fundraise on our behalf

  • tell us your story

  • give us feedback

  • register as a volunteer

  • make a complaint

When you indirectly give us information

When you interact with us on social media platforms such as Facebook, Twitter, Instagram or LinkedIn we may also obtain some personal information about you. The information we receive will depend on the privacy preferences you have set on each platform and the privacy policies of each platform. To change your settings on these platforms, please refer to their privacy notices.

Users should note that we do not use cookies on the Charity website.

What information we might collect

When you engage with us by email, post, or online, we may collect personal information about you. This may include your name, address, email address, why you are interested in The Inflammatory Breast Cancer Network UK, and other information relating to you personally which you may choose to provide to us.

How and why we use your information

We will use your personal information for the following purposes:

  • Responding to a request: If you contact us with a query, we may use your personal information to provide you with a response and hold information about our contact with you

  • Donation processing: We will process personal information you provide in order to administer any one-off or on-going donations you make and claim Gift Aid.

  • Processing an application to volunteer with us and obtaining/providing references: If you apply to work with us, we will need to process your personal data, including, for example, identification data (e.g. name, contact details)

  • Legal, regulatory and tax compliance: Where required we are subject to a legal obligation, we may process your personal information to fulfil that obligation.

Data protection law recognises that certain types of personal information are more sensitive. This is known as ‘sensitive’ or ‘special category’ personal information and covers information revealing racial or ethnic origin, religious or philosophical beliefs and political opinions, trade union membership, genetic or biometric data, information concerning health or data concerning a person’s sex life or sexual orientation. With your explicit consent, we may also collect sensitive personal health information if you choose to tell us about your experiences relating to our services for use in a Charity case study or feature on our website.

If you’re under 16

If you’re aged under 16, you must get your parent/guardian’s permission before you provide any personal information to us.

Who do we share your information with?

We will only use your information for the purposes for which it was obtained. We will not, under any circumstances, sell or share your personal information with any third party for their own purposes, and you will not receive marketing from any other companies, charities, or other organisations as a result of giving your details to us.

We always aim to ensure that personal information is only used by those third parties for lawful purposes in accordance with this Privacy Notice.

How we protect your information

We use technical and corporate organisational safeguards to ensure that your personal information is secure. We limit access to information on a need-to-know basis and take appropriate measures to ensure that our Trustees and Volunteers are aware that such information is only used in accordance with this Privacy Notice.

We undertake regular reviews of who has access to information that we hold to ensure that your information is only accessible by appropriately trained trustees and volunteers.

Our site contains links to and from various third-party websites. If you follow a link to any of these websites, please note that these websites have their own privacy policies and that we do not accept any responsibility or liability for these policies. Please check these policies before you submit any personal data to these websites.

Supporter Photographs

The Charity provides a number of supporter events each year to help raise awareness of IBC and funds to support the Charity’s objectives. Photos from such events, including meetups, may be used on our website in order to promote the activities of the Charity.

If you do not wish to be included or identifiable in these photos, or you have provided the photo but now wish to remove consent for it to be used, please contact us via email info@ibcnetworkuk.org

How long will we keep your information?

We will keep your personal information in respect of financial transactions for as long as the law requires us to for tax or accounting purposes (which may be up to seven years after the end of the financial year for a particular transaction).

In respect of other personal information, we will retain it for no longer than necessary for the purposes for which it was collected, taking into account guidance issued by the Information Commissioner’s Office.

Your rights to your personal information

Data protection legislation gives you the right to request access to personal information about you which is processed by The Inflammatory Breast Cancer Network UK and to have any inaccuracies corrected.

You also have the right to ask us to erase your personal information, ask us to restrict our processing of your personal information or to object to our processing of your personal information. We will respond within 30 days, on receipt of your written request.

Right To Withdraw Consent At Any Time

Where we use personal information based on an individual’s prior consent, such as information about health, or where permission has been given to use a photo on our website, they can withdraw consent at any time by contacting us.
